In my college Business Communications calls, we used this formula religiously. My professor would say that the readability index of a business letter should be no higher than the index of an article written for high school graduates. This is because those who read business letters, although usually well educated, do not have time to navigate through a grammatical maze when trying to obtain information they need from the letter. The shorter the sentence the better. I guess it is in that class that I developed a low tolerance for expressions like "we kindly ask you" or "please kindly advise as to the reasons for your decision." |
